FossaPay is committed to conducting business lawfully, ethically, and transparently. Employees, customers, contractors, partners, suppliers, and members of the public may report a genuine concern about suspected wrongdoing connected with FossaPay.
You do not need proof before speaking up. A reasonable and honest belief that misconduct may have occurred is enough to make a report. Please share what you know and avoid investigating the matter yourself.
What you can report
- Fraud, theft, bribery, corruption, money laundering, or terrorist financing
- A breach of law, regulation, professional duty, or a FossaPay policy
- Financial malpractice, false accounting, or deliberate misreporting
- Data misuse, privacy violations, cybersecurity concerns, or unauthorised access
- Harassment, discrimination, abuse, unsafe conduct, or serious conflicts of interest
- Conduct that may harm customers, colleagues, partners, the public, or FossaPay
- An attempt to conceal, destroy evidence of, or retaliate for reporting misconduct
Making a useful report
Tell us what happened
Include as much factual detail as you safely can: what happened, when and where it happened, who was involved, how you became aware of it, and any relevant records or witnesses. Do not obtain evidence unlawfully or place yourself or anyone else at risk.
Confidentiality
Reports and identities will be handled discreetly and shared only with people who need the information to assess, investigate, or act on the concern, subject to legal obligations.
Anonymous reports
You may report anonymously. Providing a safe way to contact you can help us ask questions and provide updates, but it is not a requirement for us to consider your concern.
No retaliation
FossaPay does not tolerate retaliation against anyone who raises a genuine concern in good faith or assists with an investigation. Report suspected retaliation through any channel above.
What happens next
How we handle a concern
Acknowledgement and assessment
Where you provide contact details, we will acknowledge your report and assess its nature, urgency, and the appropriate route for review.
Independent review
The concern will be assigned to an appropriate person who is sufficiently independent of the matter and any person named in it.
Investigation
We may request further information, review relevant records, and speak with appropriate people. Investigations will be fair and proportionate.
Action and closure
Where a concern is substantiated, we will take appropriate remedial, disciplinary, control, or reporting action. We may share a limited outcome where lawful and appropriate.
Good-faith reporting
A report made honestly will not attract adverse treatment merely because it is not substantiated. Knowingly false or malicious allegations, however, may result in appropriate action.
Immediate danger
This channel is not an emergency service. If there is an immediate threat to life, safety, or property, contact the appropriate local emergency service or law-enforcement authority first.
